Checklist Templates

A new way to organise your Checklists on Snapfix. You can now access templates on any task for high use Checklists saved in your Checklist Library.

1. Understanding Checklist Templates

  • Each checklist is now treated as an individual object.

  • Existing checklists still function but adopt a new layout.

  • Only templates can be assigned to tasks.

  • Existing checklists must be converted into templates to use the full Template + Library functionality.

  • Identical checklists may be merged automatically to reduce duplication.

2. Converting Existing Checklists to Templates

Admins can convert any existing checklist into a template.

This is the best way to create templates by using proven functional checklists. 

How to convert (Web & Mobile):

  1. Open the checklist menu (3-dot menu).

  2. Select Set as Template.

  3. The checklist moves into the Manage Checklists section of either the Site or Multi-Site Console.

  4. Once converted, it behaves as a template and can be assigned to tasks.

Template ownership rules:

  • Site Admins: Template becomes a Site Template.

  • Multi-Site Admins: Template becomes a Multi-Site Template.

  • Multi-Site Admins can convert any Site-level checklist into a Multi-Site Template.

3. Creating a New Checklist Template

Templates can be created from two locations:

A. From “Manage Checklists” (in the Site or Multi-Site Console)

  • Open Manage Checklists.

  • Select a folder.

  • Click + Create New Checklist.

  • The Checklist Builder opens.

  • Add sections, items, notes, and settings.

  • Save.

B. From a Task (Web or Mobile)

  • From the task detail view, click + in the Checklist field (Web) or Add Checklist (Mobile).

  • Select Create New Checklist.

  • Build the checklist.

  • Save.

Where new templates appear:

  • Created by Site Admin → shows in Site Templates

  • Created by Multi-Site Admin → shows in Multi-Site Templates

4. Template Organisation (Folders)

Templates are stored inside folders for better organisation.

  • Admins can create new folders (Web only).

  • Click the blue + beside the folder count.

  • Only one folder can be expanded at a time.

  • Folders can contain multiple checklists.

5. Using Checklist Templates

Templates can be assigned in several ways.

A. Assigning to a Single Task

  • Open a task.

  • Click + in the Checklist field (Web) or Add Checklist (Mobile).

  • Select a template from:

    • Site Templates (Site Admins)

    • Multi-Site Templates (Multi-Site Admins)

  • Save.

B. Assigning to Multiple Tasks (Bulk Assign)

  • Open the Console (Web only)

  • Select a checklist.

  • Click Assign Checklist.

  • Use filters to find tasks (Reactive Tasks or PPMs).

  • Select tasks.

  • Apply.

6. Multi-Site Template

  • Multi-Site templates can be downloaded from the Snapfix Library.

  • Updates to a Multi-Site template will propagate to every assigned task, unless the checklist has already been started.

7. Access & Visibility Controls

  • Multi-Site Admins can control which Sites can use each template.

  • Checklist availability can also be restricted by Task Group.

  • Changing the Site/Group in the dropdown changes the visible tasks.

  • The Site tab is greyed out when viewing Site-specific folders.

8. Editing Checklist Templates

  • Select Edit to open the Checklist Builder.

  • Any edits to a template will update all tasks where the checklist has not been started yet.

  • Once a checklist is started on a task, it will not update.

9. Replacing Checklists on Tasks

  • You can replace a checklist on any task as long as it has not been started.

  • When multi-selecting tasks, choosing Add Checklist will prompt a confirmation if the tasks already have a checklist.

  • Use Replace Checklist from the 3-dot menu to replace one across multiple tasks (Web only).

  • Only unstarted checklists can be replaced.

10. Removing Checklists From Tasks

  • Admins can remove a checklist from selected tasks.

  • A popup will show tasks where the checklist is currently active.

  • You can remove in bulk.

  • Only tasks where the checklist is active will appear in the list.

11. Moving Templates Between Folders

  • Select a checklist.

  • Click Move Checklist.

  • Choose an existing or new folder.

  • Save.

12. Copying Templates

  • Select Copy to duplicate a checklist.

  • You will be prompted to:

    • Rename

    • Add description

    • Choose a destination folder

    • Save.

13. Deleting Templates

  • Templates can be deleted via the 3-dot menu.

  • Deleting removes the checklist from all associated tasks.

  • Any progress made is lost.

  • The Task Audit Trail logs the deletion.

14. Viewing Templates

  • Click View to open the template preview in full screen.

  • Display is identical to current Web preview.

15. Audit Trail

  • Shows every change made to the template.

  • Includes timestamps and authors.

  • Available on Web only.
