Checklist Response Types Explained
Introduction
When building a checklist template in Snapfix, each item needs a response type. The response type determines how your team answers each question or completes each check. Choosing the right response type makes the checklist faster to complete and the results more useful for reporting.
Available Response Types
Pass / Fail
Best for: Inspection and compliance checks where the item either meets the standard or does not.
Example: "Fire exit clear and unobstructed" or "Smoke detector functioning".
If an item is marked Fail, Snapfix can automatically create a follow-up remedial task.
Yes / No
Best for: Simple confirmation checks.
Example: "Has the delivery been received?" or "Is the alarm set?".
Thumbs Up / Thumbs Down
Best for: Quick quality checks where you want a fast, visual response.
Example: "Room presentation acceptable" or "Uniform standard met".
Rating (1-5)
Best for: Quality assessments where you need more granularity than pass/fail.
Example: "Rate the cleanliness of the lobby (1 = Poor, 5 = Excellent)".
Ratings feed into the checklist score proportionally, so a 4 out of 5 contributes 80% to the overall score.
Numeric / Reading
Best for: Recording measurements like temperatures, pressure readings, or meter values.
Example: "Record fridge temperature" or "Water pressure reading (bar)".
Numeric responses are informational and do not affect the pass/fail score.
Text Input
Best for: Items that require a written description or comment.
Example: "Describe any damage observed" or "Note the contractor name and company".
Text responses are informational and do not affect the score.
Photo Only
Best for: Proof-of-work or before/after evidence.
Example: "Take a photo of the completed setup" or "Photograph the meter reading".
Choosing the Right Response Type
As a general rule:
Use Pass / Fail as your default for inspections and compliance. It is the clearest and most reportable option.
Use Rating (1-5) when you need to measure quality on a scale, not just whether something passes.
Use Numeric only where you need an actual measurement recorded.
Use Text and Photo as supplementary evidence, not as primary responses. They do not contribute to scoring.
Additional Item Settings
Alongside the response type, each checklist item can have:
Mandatory: The user cannot submit the checklist without completing this item.
Photo required: A photo must be attached before the item can be marked complete.
Notes enabled: The user can add a text note alongside their response.
Fail creates task: A negative response automatically generates a remedial task in the group.
